Job Description:

Assists optometrists and surgeons with diagnostic testing, preliminary screenings, procedures, and administrative tasks. Works with extreme attention to detail and the ability to multitask effectively.

Work Schedule: Monday-Friday. 8 hours shift will be within the hours of 7:00am-6:00pm and may vary from week to week. Weekend Availability.

Job Description: (include but are not limited to):

· Building rapport with patients and documenting ocular and medical histories

· Performing various scans, imaging and tests using ophthalmic instruments that provide essential patient data: OCT, autorefractor, pentacam topography, optical biometry, visual acuity, intraocular pressure, extraocular movement/motility, visual fields, BAT test, A-Scan ultrasonography, and ultrasound biomicroscopy

· Administering physician-directed ocular medications and oral medication for testing, treatment, and procedures

· Inputting patients’ ocular and medical history, History of Present Illness and Chief Complaint into their Electronic Medical Record

· Intermittently assisting physicians during minor procedures, including instrumentation, preparations, and documentation

· Aiding in patient education pertaining to procedures offered, treatment available, and medications prescribed

· Upholding HIPAA requirements

· Maintaining professional appearance and conduct, a positive attitude, and self-motivation

· Maintaining efficiency and accuracy during high-volume clinic

· Cleaning and restocking exam rooms with medical supplies

· Working as a team player, striving for cohesiveness within the department and effectively working with other departments

Customer Service Representative - New Braunfels

Our Customer Service Representatives are responsible for inbound and outbound calls in a busy medical office. This office has a specialty niche, and our employees become subject matter experts in our practice. Our representatives maximize profitability for the company by scheduling patients, answering questions, and guiding patients through the process. Many calls we receive are from a discerning patient who has detailed questions, and our representatives are responsible for acknowledging the patient’s concerns and scheduling appointments appropriately to maintain an efficient schedule.

Our representatives utilize CRM and EMR systems to input and manage patient information. Representatives must exercise listening and problem-solving skills to assist patients with questions, medication requests, and scheduling.

Ophthalmic Scribe

The scribe assists the doctors by anticipating their needs and passing the correct instruments and equipment at the proper time.

 

Job Description:

      • Conduct tonometry tests to measure intraocular pressure using tono pen, take and document patient’s medical history, measure visual acuity, including distance, intermediate, near, and pinhole, using appropriate tests, instill ophthalmic eye drops, measure and record spectacle prescription power, using lensometers 

      • Work up all post-ops and all follow ups 

      • Collect ophthalmic measurements or other diagnostic information, using equipment such as an Autorefractor, Optical coherence tomography (OCT), and Corneal Topographer  

      • Enter information gained from diagnostic tests, diagnostic scans, and any other relevant medical information gathered into the patient’s Electronic Health Record (EHR) 

      • Create and prepare the new encounter for the patient’s associated medical visit 

      • Move patients through the workflow in the EHR system and guide patients and their guests through the facility 

      • Stay up to date on e-mail correspondence and Microsoft Teams messages 

      • Obtain patient’s chief compliant at every visit 

      • Refer patient requests/grievances to designated departments as appropriate 

      • Update demographic information in the patient’s Customer Relationship Management System (CRM)  

      • Collect ophthalmic measurements or other diagnostic information, using equipment such as an AR, OCT, Corneal Topographer, Endothelial Cell Count, iTraceAnteres, Vario, A-scan, and B-scan 

      • Take functional ocular measurements of the eye or surrounding tissue, including but not limited to extraocular muscle function, confrontational visual fields, and pupil assessment 

      • Conduct visual field tests to measure field of vision using the Humphrey’s Visual Field equipment 

      • Assist in maintaining ophthalmic instruments or equipment 

      • Enter information gained from diagnostic tests into the Phoropter 

      • Analyze past medical information to gain understanding on which diagnostic tests or scans are required 

      • Assist in training new hires and navigator tier 1 as indicated by Clinic Management Staff 

      • Assist the doctor in entering patient’s medical information into patient’s Electronic Health Record  

      • Ensure the correct diagnosis codes, office visit code, diagnostic testing code(s), and/or surgical codes are accurate  

      • Review patient’s encounter and assist the doctor in closing the patient’s encounter in the Electronic Health Record system  

      • Ensure accurate referral information is entered into the Electronic Health Record  

      • Answer inquiries from other departments including but not limited to the progress of closing an encounter, progress of closing a surgical plan, and doctor’s surgical recommendations  

      • Consent patients for YAG Capsulotomy 

      • Other duties as assigned by Clinic Management Staff 

Qualifications:

  • At least 2 years of previous navigator experience required 

  • At least 3 years of previous customer service experience required 

  • High school education or equivalent required 

Knowledge Needed:

    • Advanced knowledge of the facility layout 

    • Advanced knowledge of the Electronic Health Record (EHR) system & CRM 

    • Advanced knowledge of HIPAA

This patient-facing role is responsible for checking patient’s into and out of their appointments, collecting payments, maintaining our patient lobby, and assisting patients with their patient registration.  

 

Job Duties & Responsibilities:  

  • Greet patients as they enter the building, check patient’s in for their appointment, ensure patients are registered, and notify the correct department of the patient’s arrival.  
  • Ensure the patient’s most recent and up to date insurance cards, valid photo ID, medication list, and registration information is on file.  
  • Regularly clean and maintain lobby and common areas. 
  • Update patient demographic information in the Customer Relationship Management System (CRM). 
  • Collect visit co-pays, deductibles, co-insurance, and/or self-pay prices for every patient visit.

  • Sign for, sort, and notify departments of incoming mail, packages, or messages.
